Summary: This position serves as a coordinator between the Seminary’s external and internal constituencies for all Ontario campus events and facilities use, including scheduling, reservations, catering, set up and tear down, building access, etc., as well as providing various related administrative tasks and supervision of the Lobby Attendants.
Essential Duties and Responsibilities:

The following duties are considered essential to the job. With or without reasonable accommodation, qualified individuals must have the ability to:

Work with event “clients” to identify their needs, ensure customer satisfaction, including post-event evaluations, and provide feedback to improve future events.

  • Coordinate, schedule, and process requests for all events and/or room reservations at the Ontario campus by both internal and external groups; update and maintain the “Event” program.
  • Process, coordinate, and communicate requests for event set up, tear down, cleaning, catering, building access, AV equipment and/or any other special requests, including random fast set ups to appropriate departments and/or vendors.
  • Coordinate daily schedule for building opening/closing with Facilities.
  • Report the need for repair/service/replacement of event equipment to responsible Director (i.e. Facilities / IT); Inform Director of Facilities of any areas of the campus needing service or repair as it relates to events.   
  • Supervise, train, and schedule the Lobby Attendants, assigning them with special projects or event attendance as needed.
  • Work with Registrar’s Office on classroom assignments. 
  • Ensure that Certificates of Insurance are requested from all outside users.
  • Create, update, and maintain the Procedures Manual for the Events Coordinator position.  
  • Perform additional duties as required by management.

Qualifications To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Education and/or Experience: Must have a high school education or equivalent, and a valid, insurable Driver’s License. Relevant experience preferred.

Language Skills: English Required. Ability to read and interpret documents such as safety rules, operation and maintenance instructions, and procedure manuals.  Ability to write routine reports and business correspondence.  Ability to effectively present information and respond to questions from employees, students, and the general public.

Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.  Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Physical Demands: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions. While performing the duties of this job, the employee is regularly required to talk and hear. The employee is frequently required to sit and reach with hands and arms. The employee is occasionally required to stand, kneel, crouch, climb and balance, walk and use hands to finger, handle, or feel. Additionally, the employee may occasionally be required to twist, bend, reach, climb stairs, and move furniture, or equipment.  The employee should be capable of lifting and/or moving up to 40 pounds.  Specific vision abilities required by this job include close vision and ability to adjust focus.

Work Environment: The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The noise level in the work environment is usually quiet, though moderate noise can occur at meetings and social events. It is a well-lighted, heated and/or air-conditioned indoor office setting with adequate ventilation.
