Summary

The primary role is to greet, welcome, and direct visitors appropriately, notify personnel of visitor arrival, maintain security protocols, and support to all departments within the Seminary by responding to requests, assisting with coordination needs, and helping ensure smooth daily operations across the Seminary

Essential Duties and Responsibilities:

The following duties are considered essential to the job. Qualified individuals must have the ability – with or without reasonable accommodation – to perform the following duties but not limited to:

  • Greet with a smile and welcome all visitors, guests, and vendors in a professional and courteous manner, engaging them in conversation to determine the purpose of their visit.
  • Formally check in and direct guests to the proper location in the building and inform employee(s) of their arrival.
  • Answer incoming telephone calls in a professional and courteous manner, providing assistance when possible and directing callers to the appropriate departments or staff members as needed.
  • Monitor lobby activity and remain alert to persons of interest; promptly notify the Events Coordinator, VP of Business Services, Executive Assistant to the President, if necessary the President of concerns, and contact emergency services (911) when appropriate.
  • Maintain the cleanliness and presentation of the foyer/lobby area, including sweeping, dusting, and cleaning windows throughout the day.
  • Inspect the main floor bathrooms daily and submit service requests as needed.
  • Assist with opening/closing of building lobby/foyer/chapel areas.
  • Assist the Events Coordinator and Facilities Manager with event setup and breakdown, including moving furniture, arranging tables and chairs, and setting up equipment.
  • Provide general administrative support as assigned by Event Coordinator, and Facilities Manager.
  • Support Seminary operations by working a flexible schedule including changes to scheduled work hours, adjusted day shifts, and working evenings, nights, weekends, or holidays as needed.
  • Must adhere to Seminary safety, security, and hospitality standards.
  • Perform additional duties as required by management.

Qualifications

Education

High school diploma or GED required. Receptionist experience a plus.

Skills

Language Skills: Ability to read, analyze, and interpret general business materials, technical procedures, instructional manuals, or governmental regulations. Ability to write business correspondence.   Ability to effectively present information and respond to questions from individuals and groups. English required; Bi-lingual in Spanish or Korean a plus.

Mathematical Skills: Ability to apply concepts of basic algebra and geometry.

Reasoning Ability: Ability to apply strong common sense understanding to carry out instructions furnished in written, oral or diagram form.  Ability to deal with problems involving several concrete variables in standardized situations.

Computer Skills: Proficiency in computer programs including word processing, data spreadsheets, and electronic mail.  Proficiency with scanners, copiers, and fax machines.

While performing the duties of this job the employee is required to regularly talk and hear. The employee is frequently required to sit, use hands to finger, handle, or feel and reach, push, and pull with hands and arms.  The employee is occasionally required to stand and walk.  The employee must occasionally lift and/or move up to 40 pounds.  Specific vision abilities required by this job include close vision and ability to adjust focus

Work Environment

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The indoor office setting is well-lighted, heated and/or air-conditioned with adequate ventilation. The lobby can be a noisy work area with distractions.  Part-time evening hours and some rotating Saturday work required.
